Terms of Service
These terms govern access to and use of StaCom, the Station Command platform for fire and EMS departments. By creating a department account or signing in as a member, you agree to them.
Effective and last updated: 18 September 2026
The agreement
StaCom provides a web-hosted, multi-tenant software service for fire and EMS departments. These terms form the agreement between StaCom and the department that subscribes, and they also apply to every member the department invites into the platform.
The person who creates a department account confirms that they are authorised to accept these terms on behalf of that department.
Accounts, departments, and members
A department account owns the subscription and the operational records created inside it. Department administrators invite members, assign roles, and remove access when a member leaves.
Each member is responsible for their own sign-in credentials and for the activity that takes place under their account. Credentials must not be shared. Departments should notify us promptly if they believe an account has been compromised.
Subscriptions and modules
The Base Platform is required for every department. Inventory & Equipment, Scheduling & Timesheets, Certifications & Training, Work Orders + Purchase Orders, and Apparatus Checks are optional packages that a department may add to its subscription in any combination.
A department chooses monthly or annual billing. Operational access to the platform begins once the subscription is confirmed as active; completing checkout alone does not unlock the workspace until activation is confirmed.
Fees, payment, and renewal
Fees are the published prices for the Base Platform and any selected modules, at the billing cadence the department chooses. Prices are shown on the pricing page and in the department's billing area.
Subscriptions renew automatically at the end of each billing period at the then-current price for the selected package, until cancelled. Payment, payment methods, and invoices are handled through Stripe. StaCom does not receive or store raw card numbers.
Where applicable taxes apply, they are calculated and applied at checkout and on invoices. Departments that hold a valid exemption should tell us so their billing profile can be set accordingly.
Plan changes, cancellation, and non-payment
Adding a module takes effect once the subscription update is confirmed and is charged on a prorated basis for the remainder of the current period.
Removing a module, or switching between monthly and annual billing, is scheduled to take effect at the next renewal. The current billing period is not shortened, and the removed module remains available until that period ends.
Cancelling a subscription stops future renewals. Access continues through the end of the paid period, after which operational access ends. Fees already paid are not refunded unless we state otherwise in writing.
If a payment fails, the subscription may enter a past-due state with a short grace period rather than being cut off immediately. If payment is not resolved, operational access may be suspended.
Your data and responsibilities
Operational records that a department enters remain that department's records. The department is responsible for the accuracy, lawfulness, and appropriateness of what it enters and for deciding which of its members may see and manage that information.
StaCom is an operational management tool. It is not a dispatch, emergency alerting, medical records, or life-safety system, and must not be relied on for emergency response decisions or as a replacement for official records required by an authority having jurisdiction.
Acceptable use
You agree not to use StaCom to break the law or infringe the rights of others, and not to attempt any of the following.
- Accessing another department's data, or attempting to bypass authentication, roles, or access controls.
- Probing, scanning, or disrupting the service, its infrastructure, or other users' use of it.
- Uploading malicious code, or content that you have no right to store or share.
- Reverse engineering, copying, reselling, or providing the service to third parties outside your department without our agreement.
- Using automated means to extract data from the service beyond the features we provide.
Intellectual property
StaCom, the Station Command platform, its software, design, and branding remain the property of StaCom. Subscribing grants a department a non-exclusive, non-transferable right to use the service for its own operations during the subscription term.
Departments retain ownership of the operational records they enter. Feedback and suggestions you send us may be used to improve the service without obligation.
Availability and changes to the service
We work to keep StaCom available and reliable, but the service is provided without a guaranteed level of availability. Maintenance, updates, and factors outside our control can affect access.
We may add, change, or discontinue features over time. Where a change materially reduces functionality a department is paying for, we will give reasonable notice to department administrators.
Disclaimers
Except as expressly stated in these terms, StaCom is provided “as is” and “as available”, without warranties of any kind, whether express or implied, to the fullest extent permitted by law. We do not warrant that the service will be uninterrupted, error free, or that it will meet every requirement a department may have.
Limitation of liability
To the fullest extent permitted by law, StaCom is not liable for indirect, incidental, special, consequential, or punitive damages, or for loss of data, revenue, or profits arising from use of the service.
To the fullest extent permitted by law, our total liability arising out of or relating to the service is limited to the fees paid by the department for the service in the twelve months before the event giving rise to the claim.
Suspension and termination
A department may cancel at any time from its billing area, effective at the end of the current period. We may suspend or terminate access where these terms are breached, where use threatens the security or stability of the platform, or where fees remain unpaid after the grace period.
After termination, operational access ends and data is handled as described in the Privacy Policy.
Changes to these terms
We may update these terms as the service develops. The effective date at the top of this page shows when the current version took effect. Material changes will be communicated to department administrators, and continued use after a change takes effect means the updated terms apply.
Governing law and contact
These terms are governed by the laws applicable at StaCom's place of business, and the parties submit to the courts of that jurisdiction, except where mandatory local law provides otherwise for a public agency.
Departments with specific contracting, procurement, records, or legal requirements should contact us before subscribing so that arrangements can be discussed. Questions about these terms can be sent through the contact and demo request form on this site.
