Fire department purchase order software from request to receipt

How departments keep vendors, line items, approvals, ordering, and receiving in one accountable purchasing record.

Department purchasing often crosses several handoffs: identifying the need, selecting a vendor, reviewing the cost, placing the order, and confirming what actually arrived. A shared purchase order prevents those stages from becoming disconnected paperwork.

StaCom includes purchase orders with the Work Orders + Purchase Orders module. This guide covers the current workflow without promising accounting or procurement features the platform does not provide.

What StaCom does today

Multi-line orders

Keep the items, quantities, pricing, and purchasing details together on one order.

Approval workflow

Move an order from draft to submission and record approval before ordering.

Vendor directory

Reuse vendor contact and account details while preserving the vendor snapshot on the order.

Partial receiving

Record what arrived now and leave the remaining quantities open until later receipts.

Inventory receipt

Receive linked inventory items into the correct location, lot, and expiration record when Inventory is enabled.

Order history

Retain decisions, status changes, receipts, and links to the work that required the purchase.

A controlled purchasing path

StaCom keeps the vendor, line items, pricing, notes, and current order stage together. The order can be prepared as a draft, submitted for review, approved or rejected, marked ordered, and received without replacing earlier activity.

Prepare

Choose or record the vendor and add each required line item with its quantity and cost information.

Review

Submit the order and record the authorized approval decision before it is placed.

Order

Mark the purchase as ordered so staff can distinguish approved work from an order actually sent to the vendor.

Receive

Record partial or complete receipts and preserve what remains outstanding.

Connect buying to work and inventory

A purchase order can stand alone or link to one or more work orders. That connection lets an officer follow the repair or department need while purchasing staff manage the vendor and receipt process in the appropriate record.

When the Inventory & Equipment module is also enabled, receiving a linked inventory line uses the normal inventory receiving workflow. The selected location, quantity, lot number, and expiration date flow into the same stock and history used by daily inventory operations.

What to check before you choose

  • Can the department distinguish draft, approved, ordered, and received purchases?
  • Can partial deliveries be recorded without marking the whole order complete?
  • Do vendor details remain attached to the historical order?
  • Can purchases link to the work that created the need?
  • Can inventory receipts update the operational stock record instead of requiring duplicate entry?
